The service

COIinbox lets a buyer (a GC or property-manager office) collect vendor certificates of insurance, usually an ACORD 25 PDF, by email or upload. We extract named insured, carrier, policy number, coverages, limits, and dates, show that list to the buyer, and send reminder emails to the vendor at 30, 14, and 7 days before the printed expiry, then when it is expired. If the vendor ignores two chases, we escalate to the buyer. Vendors do not get a login.

This is a dates-and-reminders tool for insurance COIs.

Dates only — not insurance advice

We track the dates on the certificate you sent. We do not say whether anyone is insured or whether coverage is enough. Extraction can be wrong. You must read the PDF. Nothing on the list is an opinion about compliance, additional-insured status, waivers, endorsements, or whether a vendor may work on a site or property.

Not a broker, agent, or insurer

COIinbox is not an insurance company, agency, or brokerage. We do not sell, place, bind, or underwrite coverage. We do not represent carriers or insureds. Using the service does not create an insurance-advisor relationship.

Your account

The buyer is the customer. You must have the right to send us the PDFs and the vendor contact emails. You are responsible for who in your office can see the list. Do not upload files you are not allowed to share.

Vendors

A vendor who appears on a certificate or in a chase email is not a COIinbox customer and has no account. We email them only to request an updated PDF or to note that a date has passed. We do not charge vendors.

Price

Shop is $79 per month. Payment is collected through Stripe using a payment link we send you — this marketing site does not host checkout. Fees are in US dollars. You can cancel before the next renewal; we do not prorate a month already started unless the law requires it.

Acceptable use

• Insurance certificates of insurance only. No malware, no unrelated document dumps.
• No scraping, reselling, or using the service to build a competing extract-and-chase product from our output.
• No pretending the list is a legal determination of coverage.

Availability and changes

We will try to keep reminders going out on time. Email delivery is not guaranteed. We may change features as the product is built. If we discontinue Shop, we will email the address on the account.

Disclaimer and liability

The service is provided as-is. We are not liable for a lapsed certificate, a missed reminder, a bad extract, a vendor who does not reply, or any claim, injury, or uncovered loss that follows. If a court nonetheless finds us liable, our total liability is the amount you paid us in the 3 months before the claim.

Governing law

These terms are governed by the laws of the State of New York, without regard to conflict-of-law rules. Courts in New York hear disputes, except where applicable law gives you a non-waivable forum.
